Tips

Tips should motivate. Not start arguments.

Tips are meant to motivate and reliably start arguments instead, because nobody can retrace how a share came about. Veydex splits them by your venue's rules, across the shifts in the plan.

Tips everyone can follow.

Veydex Tips brings card and cash tips into one shared pot and distributes it by your venue's rules.

Tips in November: €1,096.40 from the till, split per evening by hours from the rota among 7 people; one evening's calculation is expanded, on the right checking, settling and export.

  1. The month's pot

Tips from the till, split each evening by hours from the rota.

  2. Each person's share

Grouped by role: service, kitchen, owner, bar.

  3. The calculation per evening

Pot, hours and share, line by line, to check for yourself.

More about Tips

By hours, evenly, or with your own weighting — every split stays traceable. Approved settlements no longer change, and payroll gets them as a CSV.

An evening

One pot, one rule, one settlement.

Nobody has to recalculate. Everybody could.

  1. 23:30The evening is closed. The tips from the till receipts sit in one pot.
  2. 23:31Veydex splits by hours from the rota, with your venue's weighting.
  3. 23:32Every share shows how it came about: hours, weight, pot.

What is inside.

  • Tips from till receipts
  • Flexible distribution
  • Settlement per business day
  • Approval
  • CSV for payroll
What does not work yet

Tips only come from till receipts — they cannot be added by hand. Whether your till sends them, we establish before you book. Your team does not see the settlement themselves today; you pass it on.

Ask Kio

Ask Kio instead of searching.

Kio reads along in the areas you have booked and answers in whole sentences, with the figures and where they come from.

Kio reads the tips total only for the owner, without shares per person.

Kio comes with every business: occasional questions are included in the Hub.

  1. You: How much in tips hasn't been distributed yet?
  2. Kio:

Since the last approved settlement, 1,284 € has come in, as the till booked it. One draft distribution is still open.

Example with demo data.

Every share has a calculation. And it opens up down to the last line.

Veydex takes the tips from your till's receipts and the hours from the rota, splits each evening on its own by your venue's rule, and freezes the settlement when you release it.

01

Pot

Where the money comes from, and what Veydex says when it does not come.

  • From the till's receipts

Tips come from your till's receipts, cash and card together, as the till books them. Counting is by business day: an evening that ends at two in the morning stays one evening.

  • Also from a DSFinV-K export

If your till reaches the Hub through a DSFinV-K export, Veydex reads the tip postings in it as tips and not as an item sold.

  • No zero that is not one

If the till sends no tip field, Veydex shows no amount but the reason. If only some receipts carry the field, the total is shown as a lower bound, with the share of receipts.

  • How current the till data is

Next to the pot it says up to which day the till data reaches. If an export is missing, you see it before you settle.

02

Splitting

Your venue's rule, applied to each evening on its own.

Real screen from the Hub · demo data
  • Three methods

By hours, by points per role, or in equal parts among everyone who was there that evening. Out of the box, tips are split by hours.

  • Points per role

With the points method, service and bar hours count in full and kitchen hours half. A role missing from the table counts in full rather than quietly dropping to zero.

  • Per evening, not a monthly average

Someone who only worked Saturday shares in Saturday's tips and not Tuesday's. A shift belongs to the evening on which it started.

  • No cent goes missing

Leftover cents from rounding go to the person with the largest rounding loss. The shares add up exactly to the pot.

03

Tracing

Every figure with the inputs it came from.

Tips in November: €1,096.40 from the till, split per evening by hours from the rota among 7 people; one evening's calculation is expanded, on the right checking, settling and export.
Real screen from the Hub · demo data
  • Person, evening, calculation

Every share opens up: on which evenings, how much in tips on each, who was there for how many hours, and the calculation as a single line to check by hand.

  • A preview with no consequences

You adjust the rule without creating a settlement. Every change shows at once what it means for each person.

  • Evenings without a shift

If there are tips on an evening when nobody is on the plan, Veydex names the evening and the amount instead of letting the money quietly disappear.

  • A checklist before release

Compared with the cash book, hours per person checked, shares equal to the pot, no period counted twice. Release only works once everything is ticked.

04

Settling

Once released, it is a record.

Completed tip settlement for October: €8,261.50 for 7 people, reconciled with the cash book and released, export as CSV.
Real screen from the Hub · demo data
  • Draft, then release

Settling creates a draft, releasing freezes it. After that, corrected shifts or late receipts no longer change the shares, and the rule that applied stays attached to the settlement.

  • Nothing split twice

If a period overlaps one already released, Veydex refuses, when it is created and once more on release.

  • Release without tip data

If the till shows that it sends no tips, Veydex asks explicitly before release. Anyone who releases anyway is recorded in the log for it.

  • Handover to payroll

The settlement goes to payroll as a CSV with name, role, minutes, points and share in euros.

What it does differently. And why that matters.

  1. 1 Tips and hours in one system

    Often

Tips sit in the till, hours sit in the rota, and the two often live in separate software.

    With Veydex

In the Hub both are in the same database, ordered by the same business day.

    Why that matters

Friday's tips do not end up with Saturday's staff.

  2. 2 Calculated per evening

    With Veydex

Averaging over the month would be simpler and wrong.

    Why that matters

Veydex splits each evening on its own, and each person's total is built from those evenings.

  3. 3 Missing is not zero

    With Veydex

A till that reports no tips is not an evening without tips.

    Why that matters

Veydex tells the two apart and, with several tills, says which one is missing them.

  4. 4 Released stays released

    With Veydex

The settlement keeps the figures it was released with and cannot be deleted.

    Why that matters

Anyone asking later finds it exactly as it was paid out.

Who in the business gets what out of it.

  • Owner

You set the rule, settle and release. Only drafts can be deleted.

  • Shift lead

Sees the rule and the preview, meaning what would be split if you settled now. Saving and releasing are not possible.

  • Bookkeeping

Reads saved settlements and downloads the export for payroll, without changing anything.

Technical details and data

  • Requirement

Tips requires the rota, because without attendance there is nothing to split. On top of that you need a till that carries tips on the receipt.

  • Period

Without a selection Veydex covers the current month up to today, by business day. A settlement spans at most 92 days.

  • Export

CSV with name, role, minutes, points and share. If a name starts like a formula, it is defused so the file runs nothing in Excel.

  • Log

A change of method and every settlement created or released are in the log, and a release without tip data separately.

  • Tax

Veydex calculates and documents. The tax treatment (§ 3 No. 51 EStG) and the question of who the tips accrue to stay with your payroll provider.

  • Devices

Checking, releasing and exporting happen at the computer. On the phone you see who gets how much.

What it does not do today

Listed here so you know before, not once you are running it.

  • Tips only come from the till's receipts.

A jar on the counter that is not booked through the till cannot be added by hand in the module.

  • The basis is the shifts on the plan.

If an evening went differently, you correct it in the rota before you settle.

  • Veydex does not assess tips for tax or social security.

  • The export is a CSV file, not a DATEV format.

  • In Veydex Shift nobody sees their share today.

The split is visible to the owner, the shift lead and bookkeeping in the Hub.

Questions before you start

What businesses want to know before they switch it on.

Does my till send the tips?

That depends on the till and its interface, and we establish it before you book. If it does not, Veydex shows the reason instead of a zero and, with several tills, which one is missing them.

And the cash in the jar?

Whatever the till books as tips is in the pot, cash and card alike. What does not go through the till Veydex does not know about, and it cannot be added by hand in the module.

Can I include the kitchen?

Yes. By hours and in equal parts the kitchen is fully included. With points, kitchen hours count half and service and bar hours in full. Other point values cannot be set in the interface today.

What happens if I correct a shift after release?

The released settlement stays as it is. With a draft, on the other hand, Veydex notices that something has changed since it was created and suggests deleting it and settling again.

Can the same tips be split twice?

No. A period that overlaps a released settlement is refused, when it is created and once more on release.

Who can release?

Only the owner. The shift lead sees the preview, bookkeeping reads settlements and the export.

Does Veydex take care of tax on tips?

No. Veydex works out who gets how much and documents it. How tips are treated for tax and who they accrue to is decided by your payroll provider; the export is the handover for that.

Does my team see its share?

Not in the app. The owner, the shift lead and bookkeeping see the split with every evening and the calculation per person in the Hub; from there any share can be shown and explained.

One pot. One rule. One settlement anyone can follow.
