Contracts and dues in one place.
Contracts, terms, freezes and outstanding dues live in a spreadsheet only one person understands. Veydex turns that into a record with a history.
Contracts and dues in one place.
Veydex Memberships manages plans, minimum terms, freezes, cancellations and outstanding dues in one structured system.

The member card
Plan, what is included and since when, at a glance.
Term and notice
Fee, minimum term, notice period and the next payment.
Payment history
Each payment as a dot, open ones as a ring, upcoming ones dashed.
More about Memberships
You start the dues run in the Hub: it raises what is owed up to today and shows what is still open. Run it twice and nothing is charged twice.
A billing run
One run, and everything due is there.
Collection is still missing. Veydex raises the charges and shows what is open; the debit happens outside Veydex today.
- 01A new contract: tariff M, twelve-month minimum term.
- 1st of the monthYou start the billing run. It raises the charges that are due, none of them twice.
- 03Two members freeze. The freeze moves the term along with it.
- 04What is outstanding shows as an open item — not in a second file.

Ask Kio
Ask Kio instead of searching.
Kio reads along in the areas you have booked and answers in whole sentences, with the figures and where they come from.
Kio reads overdue fees only for the owner. He does not send a payment link.
Kio comes with every business: occasional questions are included in the Hub.
Meet Kio- You: Which fees are overdue?
- Kio:

Contracts with terms that add up. And dues where you can see what is outstanding.
Veydex Memberships keeps plans and contracts on the guest record, works out cancellation dates and freezes, and raises what is due in the dues run.
01
Plans
A plan sets what a contract costs, how long it binds and what comes with it.
Price and interval
Monthly, quarterly or yearly, plus a joining fee if you charge one. It shows as a charge of its own rather than hidden in the first payment.
Term and notice
Minimum term and notice period are set on the plan and carried into every new contract.
Benefits as short points
What the plan includes, such as a discount on food or one drink per visit, appears as a short list on the plan and on the membership card.
Price changes without backdating
If you change a plan's price, it applies to new contracts. Running contracts keep the fee they were signed at.
Retiring plans
A plan you no longer offer can be switched off. No new contracts are made on it, existing ones keep running.
02
Contracts
Every contract hangs on a profile in Guest records and carries its history.
Cancellation on the right day
Veydex works out when a cancellation takes effect: notice observed and not before the end of the minimum term. The card shows what cancelling today would mean before anyone triggers it.
Freezes move the end date
If a member pauses, the freeze costs nothing and the minimum term is extended by exactly those days, counted across all freezes on the contract.
One running contract per person
A second running contract for the same person is refused. It is usually a mistake, and otherwise the first one can be ended.
The card to look things up
Does the discount apply, is anything outstanding? You look up the member and see plan, benefits, term and dues on one card.
03
Dues
The dues run raises what is due, and the open items show what is still missing.
A run whenever you like
You start the dues run in the Hub. It raises everything due up to today for every running contract, and if it runs twice, no charge is created twice.
Due from the start of the contract
A yearly contract begun on 15 March is due again on 15 March, not on 1 January. Someone who starts on the 31st is due on the 28th in February and on the 31st again in March.
Cancelled does not mean ended at once
A cancelled contract is charged up to the day the cancellation takes effect, and not for any period beyond it.
Open items with a status
Every payment shows as open, paid, waived or returned, with a reason when a direct debit came back.
What the membership base brings in
Above all contracts you see what they bring in per month, worked out from each contract's interval: a yearly fee counts as one twelfth a month.
04
Payment
You decide how the money comes in. Veydex records that it has arrived.

Recorded by hand
Cash, bank transfer or direct debit from your own system: you mark the payment as paid.
A payment link per charge
With the Payments module you create a payment link for an open charge, for exactly that amount. Once the member pays, the charge is marked as paid by itself.
No second route
As long as a link for a charge is valid, there is no second one. If you record the charge by hand, the open link is withdrawn so nobody pays twice.
Returned direct debits
If a direct debit from your own system comes back, you mark the charge as failed, with a reason. It stays open until it is paid.
What it does differently. And why that matters.
Who in the business gets what out of it.
Technical details and data
Prerequisite
Memberships requires Guest records. The contract hangs on its profile.
Audit log
New contracts, cancellations and every dues run appear in the Hub's audit log, with the time and the person who triggered them.
Access requests
To answer a member's request for information, you export their contract with plan, terms, mandate reference, charges and freezes as a CSV.
Payment
Veydex does not collect direct debits itself today. Payments through links run via the Payments module and its payment service provider.

What it does not do today
Listed here so you know before, not once you are running it.
Collection is still missing.
Veydex raises the charges and shows what is open; the money is collected outside Veydex today.
You start the dues run yourself.
There is no fixed date on which it runs by itself.
The Hub does not email payment links.
You copy them and send them yourself.
If a plan's price changes, running contracts stay at their old fee.
Adjusting individual running contracts is not possible yet.
Veydex does not check whether terms and notice periods fit your contract conditions.
It calculates with what you enter on the plan.
Stronger together. Memberships and the rest.
All modules work on the same data. What Memberships knows, the others know too. Switch on what you need and see straight away what it costs together.

Questions before you start
What businesses want to know before they switch it on.
Does the dues run happen on the first of the month by itself?
No. You start it in the Hub whenever it suits you, and it raises everything due up to today. Starting it twice does no harm, because no charge is created twice.
Does Veydex collect dues by direct debit?
Not yet. You record incoming payments by hand or use the Payments module to send a payment link per charge. If a direct debit from your own system comes back, you note that on the charge.
What happens during a freeze?
Nothing falls due during the freeze, and the minimum term is extended by its days. With several freezes, Veydex adds them all up.
When does a cancelled contract end?
On the later of two dates: after the notice period or at the end of the minimum term. Veydex works out the day, and charges keep being raised until then.
I am raising my prices. What happens to existing contracts?
Nothing. The fee is copied into the contract when it is signed, and a price change on the plan only applies to new contracts.
Do I need the Payments module for this?
No. Without Payments you record incoming dues by hand. With Payments you create a link for every open charge, and paid charges are marked as paid by themselves.
What kind of business is this for?
For anyone who sells contracts rather than single visits: a studio just as much as a restaurant with a membership and benefits such as a discount on food. What belongs to a plan, you write down yourself as its benefits.
