Do a stocktake

A stocktake does not reset the stock. It books the discrepancy between counted and calculated, because that figure is the reason you count.

On your phone: one round per storage location

1. 011. Open Stock on your phone. Under Stocktake there is a round for each storage location, such as Stocktake Cold room, with the date of the last count.
2. 022. Choose the round. You see one article per screen and above it “Before counting: calculated …”.
3. 033. Type the counted quantity. If the article has a pack, switch between unit and pack under Counting unit.
4. 044. Choose Record. Below it you see “Matches the calculation” or the difference in quantity and euros.
5. 055. If the difference is large, the Hub asks why: Used, not booked, Spoiled, discarded, Delivery not booked, Miscounted last time, Don't know or Write your own reason. Record with reason moves on. The difference is booked either way.

If you cannot get to an article, choose Skip; it moves to the end of the round. If you leave it without a count altogether, the Hub books nothing, and the calculated stock applies until the next count.

Pause the round stops for now; whatever is recorded is booked. At the end you see every line with its stocktake loss or gain, and you can carry on with the next storage location.

On a computer: count one article

1. 011. Tap the article in Stock.
2. 022. Choose Stocktake and enter the quantity under Counted.
3. 033. Choose Book. The Hub reports “Counted and calculated agree” or the discrepancy.

What happens next

• If an article falls below its minimum stock, it appears on the reorder list. Nothing is ordered automatically.
• The differences go into the theoretical vs actual food cost as “Stocktake difference”.
• Under Gaps, the stock view shows storage locations that have not been counted for a while.
