Team and Veydex Shift
Keep track of residence permits
For staff without an EU passport, add “Add residence status” in the person's file under “Team”, with status and expiry date. The Hub reminds the person and you in stages, from 90 days before up to the expiry date, and names the deadline for the new proof.
Appointments at the immigration office often take weeks to get. That is why the Hub reminds early, and it reminds both: the person and you.
Enter it
- 1. Open Team, pick the person, then Documents.
- 2. Choose Add residence status.
- 3. Pick the Status, such as residence permit, EU Blue Card, residence permit for studies, provisional certificate (Fiktionsbescheinigung) or toleration / asylum permission, and enter how long it is valid.
- 4. Under Work: without restriction, with restrictions or not permitted. Add a Restriction if there is one, such as “at most 20 h/week during term”.
- 5. A note only for you is possible. Save with Save residence status.
The person sees their status in Veydex Shift in the personnel file, with the date the new proof is due.
The reminders
Under Rota › Settings › Personnel file you set:
- Residence permits: remind from: how many days before the first reminder comes (90 by default). After that the Hub reminds 30, 14 and 7 days before and on the expiry date, once per stage.
- New proof due: how many days before expiry the new proof should be in (14 by default). The deadline appears in every reminder.
If the permit has expired, the message to you says that the person may not be employed without a valid permit (§ 4a AufenthG).
The new permit
The person uploads the new permit in the personnel file with Upload new proof and signs. Once you approve under Rota › Requests, the new date shows in the status and the reminders start over.
