Team and Veydex Shift

Set up the rota

The first time you open the rota, “Set up the schedule” comes first, with eight steps from your team to the first published plan. You can do every step right there, and whatever your data already shows is ticked off.

When you open the rota for the first time, Set up the schedule comes first. The steps build on each other, but the order is a suggestion, not a requirement.

The eight steps

  1. 1. Add your team: who works for you, with a role. The role decides who may take which shift: service, kitchen or bar. A temp may do everything.
  2. 2. Enter contracts: hourly wage, weekly hours, days of holiday. These drive the hours account and holiday balance, and tell the autopilot where overtime starts.
  3. 3. Clocking in: whether your team clocks in and out in the app, and where the workplace is.
  4. 4. Set the rules: what the team may do in the app, the deadline for availability and what happens when someone calls in sick.
  5. 5. Personnel file and deadlines: reminders for residence permits.
  6. 6. Get the team on the app: invite by email or with the QR code in the staff room.
  7. 7. Plan the first week: Enter yourself, or let Mira make a draft with Plan the week.
  8. 8. Publish: only now does your team see the plan.

When a step counts as done

A step is ticked when your data shows it, whether you entered it here or in the tabs: for example weekly hours for everyone, or a published plan. Clocking in, rules, personnel file and app already have sensible defaults; there you only confirm with Looks good.

Continue later

Later hides the setup. It then waits as the Setup tab with the number of open steps. Under Settings, Open setup again brings it back.
