Signing digitally or on paper
Once a draft is complete, the document shows two routes: “On paper” to print and match back via the QR code, or “Get it signed digitally”. Where the law requires paper, the digital route is blocked.
Which route fits depends on the document type. The document tells you before you decide.
On paper, with a QR code
- 1. On the document, under On paper, choose Print. Every printout carries a random code and a QR code.
- 2. Have it signed by hand.
- 3. In the document choose Assign signed scan (or from For you), photograph the printout or choose the PDF.
- 4. The QR code says where the paper belongs. Tick that the document should be marked as signed, and choose Assign.
If the browser finds no QR code, such as Safari on an iPhone, type the Code (under the QR code). Anyone who later scans an old printout sees that a newer version exists.
Get it signed digitally
- 1. On the document choose Get it signed digitally. It shows who it goes to and in what order.
- 2. Change signers adjusts people and order.
- 3. Choose Send. Each person gets their own link.
What is signed is frozen from the moment you send. Anyone who has not signed yet is reminded every three days, for up to three weeks. You see the progress under Signatures. After the last signature a locked version with an audit report is created; a signed document cannot be deleted.
Which route when
- Termination, termination agreement, reference letter: digitally blocked (§ 623 BGB, § 109 (3) GewO). It says “Not possible for this document: the law excludes the electronic form.”
- Employment contract in hospitality: as proof of terms it stays a paper document (Nachweisgesetz with § 2a SchwarzArbG); a fixed term needs the written form anyway (§ 14 (4) TzBfG). Paper is required or recommended here.
- Documents with written form: digital only after explicit confirmation. A simple electronic signature documents consent but does not replace written form.
If the draft still lacks details, it says “Complete it first, then sign” with Fill in … details.
