Guests and reservations
Consent and saying no: who gets messages
Guest records hold two consents: “Appointment reminders” and “Marketing and mailings”. If appointment reminders are set to no, the guest gets no reminder, no reservation email and no review request.
Reminders and marketing are kept apart because they rest on two different legal grounds: a reminder about a reservation is part of the contract, a newsletter needs consent.
In Guest records
- 1. Open the guest and the Consent tab.
- 2. Switch: - Appointment reminders: by SMS or email before the reservation. A new guest has yes here. - Marketing and mailings: only with consent. A new guest has no here.
Below it you see when the consent was last changed.
What a no does
If Appointment reminders is set to no, the guest gets:
- no reminder, on any channel
- no email about their reservation
- no review request
The same applies if the guest is blocked in Guest records.
When guests unsubscribe themselves
- Every email reminder and every reservation email carries an unsubscribe link. Anyone who uses it gets no more email reminders, reservation emails or review requests.
- They can reply STOP to an SMS if the sender is a number.
- If a guest tells you on the phone that they want nothing more, set Appointment reminders to no in their record.
SMS
An SMS also needs the guest's explicit consent. You record it in Reminders, in the Appointment book or Guests side panel under People with SMS reminders allowed, or on an appointment with Agreed to SMS reminders. A tick there does not override a no in Guest records.
