Guests and reservations
Taking a reservation over the phone
In Reservations, choose “Add reservation”: enter name, date, time and party size, pick Phone under “How did the booking come in?” and save. With a phone number or email, the guest also goes into Guest records.
A reservation that comes in by phone goes into Reservations. Anyone on the team who can see Reservations can do this.
How it works
- 1. Open Reservations and choose Add reservation.
- 2. Enter the name under Guest. If you can see Guest records, you can also search for a known guest here.
- 3. Enter Phone or Email if you have them.
- 4. Choose Date, Time and Party size. If opening hours are set, the free times for this party appear below to tap.
- 5. Pick a table if you already know it. Tapping several puts them together. Without a table, the Hub only checks the time.
- 6. Under How did the booking come in? choose Phone.
- 7. Write what service needs to know in Note, such as an allergy.
- 8. Save with Add reservation.
The reservation is then in the book as Confirmed.
Email to the guest
Below the form you see Send confirmation to guest when an email is possible. The box is not ticked in advance: the guest only gets a confirmation if you tick it. Preview shows you the text first.
What can go wrong
- The Hub says the table is taken or the time does not work. What helps then is in Book anyway.
- Without a name the Hub saves nothing. For a guest who is already there, choose Walk-in under How did the booking come in?.
- With a phone number or email, the form tells you which guest in Guest records the booking will be linked to. If that is wrong, choose Don't link. More in How a reservation reaches the right guest.
