Deadlines and reminders
On the document, under “Edit details”, enter how long it is valid and how many days before you want a reminder. For contracts, the Hub works out the last day to give notice from term, notice period and renewal. Everything shows in the “Deadlines” tab.
A document with a date speaks up by itself. The file does not have to be there yet: the date is the reason for the entry.
Expiry date and reminder
- 1. Open the document and choose Edit details.
- 2. Enter Valid until / end.
- 3. Under Remind (days before) set the lead time. The default is 30 days.
The Hub speaks up once with that lead time and once more when the document has expired.
Contracts
For contracts, under Edit details you also enter Start, Minimum term (months), Notice period (days) and, if it renews quietly, Renews with Renewal (months). From this the Hub works out the term end and the last day to give notice, correct at month end too. A contract that renews quietly is rolled forward, not reported as expired. With Amount (€) and Owner you see what it costs and who looks after it.
All deadlines at a glance
The Deadlines tab shows what is overdue and what is coming, the monthly cost of running contracts and what renews in the next 90 days. Inside a document, Deadlines & tasks shows its own dates; you add a task there.
Turn a deadline into an action
Under Documents › Settings › Automations three recommended ones that watch deadlines sit at the top: an email to you when a contract expires or a notice deadline approaches, and requesting a record again from the employee when it has expired. More are under further suggestions, and you create your own with Own rule.
