Approvals in the inbox
What a helper or Kio wants to change in the business, such as a shift, a reservation or a HACCP reading, waits in the inbox for your yes, grouped by area. With “Show approvals only” you see just these.
Before a helper or Kio changes anything in the business, it needs an approval.
Where approvals are
- In the Inbox: choose Show approvals only.
- Or under Settings › Approvals with Go to approvals.
Each approval says who wants what, such as “Mira wants to create a shift”, whom it concerns and what happens after your yes. For a change, Before shows what it was.
Kio's proposals each sit in a group of their own area: Reservations, Hygiene & HACCP, Loyalty, Inbox and Documents, plus rota, stock, marketing and till as before.
Approving or declining
- The button names what happens: Approve shift, Approve draft, Approve price, Approve reading, Approve booking or Approve.
- Decline … declines it. A reason is required here; the helper learns from it.
Orders, campaigns and documents are created as drafts. Nothing is sent. If an approval changes a reservation or the waitlist, the guest gets no email. A HACCP reading is recorded as evidence, loyalty points are booked with a reason. A price goes to the till right after your yes, if the till has a way back in for it.
Outdated
If someone has changed the same thing themselves in the meantime, the approval shows as Outdated. Nothing is carried out then, so that no change a person made gets overwritten.
Unclear: did the till apply it?
If the till does not answer clearly, the Hub does not send the request again, so nothing is changed twice. The approval then sits at the top as Unclear. Check the till and choose It's in the till or It's not there.
What works without your yes
Under Settings › Approvals every action is listed with Ask first. Handle on their own cannot be switched on yet; until then every helper brings each of these actions to you. Below that are the Limits that always apply, for example: anything that costs money or reaches the outside world always needs your yes.
