Guests and reservations
Setting up and switching on a reminder
In Reminders, choose “Add reminder”, use a template or create your own. Write the text, pick timing and channel on the right, “Publish” and switch off “Pause”. Beforehand, “Test email to me” or “Test SMS to me” shows what arrives.
A reminder goes out at a set distance before or after the start of a reservation or an appointment. The owner sets it up, on a computer.
Adding
- 1. Open Reminders and choose Add reminder.
- 2. Choose From a template and then Use, or Your own reminder with a name and Add reminder.
It is then a draft and goes to nobody.
Text and timing
- 1. Write straight into the message on the phone in the middle. An email needs a subject too.
- 2. Use Insert placeholder for name, date, time, party size or table. They show the values of your next guests.
- 3. On the right under Goes out: a number, minutes, hours or days, and Before or After. At most 30 days.
- 4. Under What it is tied to: the reservation or the appointment.
- 5. Under Channel: Email, SMS or both.
Testing
- Test email to me sends the published version to your account's address. You test the draft after publishing.
- Test SMS to me asks for your Mobile number and sends the draft text with Send test. It does not count against your monthly limit.
Both go the same way as the real reminder and show up in the history.
Switching on
- 1. Choose Publish.
- 2. Switch off Pause. This applies at once.
While Pause is on, the reminder goes to nobody. On a phone you can only switch reminders on and off; writing works on a computer.
Good to know
- There is no fixed time such as “6 pm the day before”, only distances from the start.
- Templates that cannot be triggered say so themselves, see Are WhatsApp, birthdays or fixed times possible?.
- SMS: for Reminders booked from 1 December 2026, 100 SMS a month are included; more go out only if you switch them on yourself, see SMS reminders.
- Reminders for reservations need Guest records, see Why did a guest not get a reminder?.
