Upload and post a supplier invoice

E-invoices carry lines, quantities and prices as data. The Hub reads them instead of someone typing prices in.

How it works

1. 011. Open Stock › Supplier invoices and choose Upload invoice ….
2. 022. Pick the file: an XRechnung as .xml or a ZUGFeRD PDF, up to 10 MB.
3. 033. The status moves through Queued and Reading … to Read — please check. Tap the invoice.
4. 044. Check each line. Where the Hub recognised the article, it is already filled in; otherwise pick it under Choose article …. Lines without an article, such as a delivery charge or deposit, are not posted.
5. 055. Choose Post. The Hub tells you how many lines were posted, and the status shows Posted.

What posting does

• Every line becomes a goods receipt. The quantity on an invoice counts packs, so the article needs a Content per pack.
• The price feeds into the purchase cost, and the latest pack price shows on the article.
• Your supplier's price increases appear in the theoretical vs actual food cost as “Purchase price drift”.

When something does not fit

• The line total differs from the invoice total: check the invoice. If it is right anyway, use Post anyway.
• Lines skipped: the article is missing a pack size there, or the invoice is missing a price.
• Not readable: the PDF contains no invoice data, such as a scan. There is no text recognition; book the delivery on the article as a goods receipt.
• Failed: the file could not be read. Upload it again or book by hand.

Lines are recognised by the supplier's Article no. on the stock article or by a name that fits exactly once. For that, the Hub also has to recognise the supplier by name.

Only the owner can upload, match and post invoices.
